How a session unfolds

  1. At booking

The learner picks a slot, says what she wants to talk about and pays. She receives an email with the link to the room.

  2. 24 hours before

    Reminder email to both people.

  3. 1 hour before

    Second reminder.

  4. 10 minutes before

    The room opens.

  5. During the session

Video call on the platform. It is recorded only if both people agree.

  6. Afterwards

If it was recorded, the learner watches it again from "My recorded sessions".

Function by function

01

Booking against your weekly schedule and time zone

You define which time ranges of each weekday you take sessions in. The learner only sees slots that truly fit inside them.

  • Ranges per weekday, as many as you want.
  • Your time zone (default Europe/Madrid): every slot is computed in yours and shown to the learner at the matching local time.
  • Slots already taken by another session, or by a booking that is mid-payment, disappear from the list.

02

Minimum notice and margin between sessions

Nobody books you ten minutes from now or chains two sessions without a break.

  • Minimum notice: 24 hours by default. You set it between 0 and 336 hours (two weeks).
  • Margin between sessions: 15 minutes by default. You set it between 0 and 120.
  • Booking horizon: 60 days ahead by default. You set it between 1 and 365.

03

Three lengths, each with its own price

You sell 30, 45 or 60-minute sessions. Switch on the ones you want and set the price of each.

  • A length without a price cannot be switched on: nothing is ever sold half-configured.
  • The price is typed in euros, with or without cents; an invalid format is rejected rather than silently rounded.

04

Payment at booking

The booking is not confirmed until it is paid. No unpaid sessions, no "I will transfer it later".

  • Payment on a secure payment page. While the learner pays, the slot is held for her for 30 minutes.
  • If she does not complete the payment, the slot is free again.
  • Once the payment is confirmed, both people receive their email with the link to the room.

05

Rescheduling

If the learner cannot make it, she moves the session to another free slot of the same length without writing to you.

  • From the link in the confirmation email, no password needed, up to 24 hours before (you can change that window).
  • You can move a paid session at any time before it starts.
  • Your calendar event moves too, the reminders restart and both people get the new time in their language.

06

Cancellation with refund

A simple policy, written down from the start.

  • If the learner cancels at least 24 hours ahead (the default window; you set it between 0 and 336), she is refunded in full.
  • After that window there is no refund.
  • If you cancel, the refund is always in full, whatever the time.
  • The refund is issued once per booking: two clicks never refund twice. The calendar event is deleted and both people get the notice.

07

Google Calendar

You connect your Google account once, from the sessions panel.

  • What you already have busy in your main calendar (and in the "LearnSuite" calendar) is subtracted from your schedule: nobody books over your dentist.
  • Only free or busy is read, never the title or content of your events.
  • Every paid session shows up as an event in a calendar called "LearnSuite", which the platform creates. It is the only calendar it writes to. The event carries the room link.
  • If the time changes, the event moves; if the session is cancelled, it is deleted.
  • If Google does not answer when the slots are computed, none are offered: rather than sell an hour that may be taken, it waits.

08

Video call inside the platform

No third-party links and no accounts to create: the learner joins from the link in her email.

  • The room opens 10 minutes before the start and closes 15 minutes after the end time.
  • Each person joins with their own link, valid only for that session and that role.
  • The instructor can end the session from the room.

09

Reminders

Fewer no-shows, without you writing to anyone.

  • One email 24 hours before and another 1 hour before, to the learner and to you.
  • If the session was booked with less than 20 hours to go, the 24-hour one is skipped: the confirmation has just arrived.
  • Each reminder goes out once. If you change the session time, they are scheduled again.
  • Each person gets it in their own language: the one they saved, or the one they used with you.

10

Recording only with both parties' consent

Before recording, the room shows the notice and each person accepts separately.

  • If one does not accept, nothing is recorded. The screen shows who has accepted and who is pending.
  • Withdrawing consent stops the recording at once.
  • The recording is stored on servers in the European Union, in a private store, and only the two people and the academy can see it.
  • The version of the consent text that was accepted is recorded.

11

Session library for the learner

The learner watches her sessions again whenever she wants, in "My recorded sessions".

  • She only sees her own, in her academy, with the email she booked with.
  • The recording is served through a temporary link, valid for 15 minutes at most.
  • She can withdraw her consent and delete the recording from the same page.
  • The instructor sees those of her academy.
